Jolly Running Ltd in these terms and conditions are referred to as “We”  or “Us”
These terms and conditions apply to all participants who register to take part in a event organised by Jolly Running Ltd. In these terms and conditions participants will also be referred to as “you”

By registering in the event you are agreeing to be bound by these terms and conditions

By entering you agree that you have read the details and T & C’s  regarding each event found on the website www.jollyrunning.uk and any other information that is sent to you by Us,  and agree that you clearly understand what ability is required and what is entailed in participating in your chosen event.

The entry fee must be paid at the time of entry.

Age: The UKA guidelines state that runners must be over 16 to take part in a 10k, they also state that the maximum distance a 16 year old can run is 10K, maximum distance for a 17 year old is 25km, any distance over 25km participants must be over 18. These rules can be found on page 81 of the UKA rules for competition, the Rule is number 141 S 5 UKA on Trail running.

 Please Note: Each Jolly Running event has its own Age Restrictions, based on its distance, terrain etc. which follow the guidelines set by UK Athletics for Trail Running/ Multi Terrain Events, we publish each events age restrictions on that events own web page and on the entry system page.

Refund policy: We do not give refunds for any event, however we are willing to facilitate a number swap or deferral for each event, however these must be applied for at least 14 days before the date of the event. An admin fee of £5 is required for any deferral. Please email [email protected] to ask for a number swap or deferral.

Number Swaps: These can be done yourself within a minimum of 2 weeks before the date of the event via your Race Nation account. Or please email [email protected] to ask for a number swap, quoting your details and the name and email address of the person taking your place. IMPORTANT- Under no circumstances should a runner use someone else’s number without asking for an official number swap, this will result in the runner being disqualified from the event and further action may be taken against the original runner.

RACE NATION cannot change any entry details, only yourself or the event organisers have this permission.

We reserve the right to cancel your participation in the event if any information provided by you is found to be inaccurate in any way. In this case you will be refunded your entry fee minus 20% admin costs

IMPORTANT:  All arrangements for the event, including the venue, time, date and route may be subject to change, any changes will be emailed to you as soon as possible, we reserve the right to also alter any of these details due to unforeseen circumstances such as but not limited to adverse weather conditions, acts of terrorism etc.

Please provide any details of medical conditions and make sure you write these on the back of your race number, you are responsible for ensuring that you have taken medical advice, and that you are medical are fit and healthy and have undertaken appropriate training and preparation to participate in the event

Participation at your own risk: You agree that you participate in the event at your own risk, and accept that we cannot be liable to the fullest extent permitted by law, for any personal injury sustained by you in any way or loss or damage to any personal property as a result of your participation in the event

You must abide by any rules or regulations of the event that may be notified to you by us or the venue owners at any point leading up to or at the event

You must show respect and courtesy towards other participants and spectators. If you behave in any manner which is, in the Event Organizers opinion, poor sportsmanship or a risk to the safety of any other participant, spectators or anyone else in attendance at the event this may result in you being disqualified from the event and removed from the venue

We are not responsible for any third party organisations that may be provide other services at the event. You use any such services at your own risk

If access to published course is restricted for any reason an alternative route will be used

Postponement: If the event has to be postponed for any reason, the Event Organizers will endeavor to arrange an alternative event, and you will be notified of the new date and venue of the rearranged event. These terms and conditions will continue to apply to the rearranged event. No refund will be given if you do not wish to participate in the rearranged event.

If the event has to be cancelled, you will be offered alternative options or receive a refund of your registration fee minus a 25 % deduction to cover administration costs

You agree to photographs and video being taken at the event and that any images of you may be used by the Event Organizers in any media regarding the event and to market and advertise the event or any other similar events

By registering you are agreeing to any data provided being used by the Event Organizers to contact you regarding other events

2)Code of Conduct

Race Day

Participants agree to follow instructions as given from all event officials including race staff, volunteers, marshals and the medical team.

All participants are expected to conduct themselves in a courteous manner during their participation in the event, remember that we use shared paths for our events and participants do not have any greater right of way over any other path user at any event.

Race Numbers must be worn at all times and be on display on the front of the runner, anyone not wearing a Race Number will be disqualified and will not receive a finishers medal, t-shirt and other race goody. Any medical conditions must be written on the back of your race number.

Sorry but we do not allow any wheeled vehicle at our events. Our routes are not accessible for wheelchairs, buggies, push chairs, prams etc.

On the Course

Any participant who refuses to obey the directions of an event official, marshal  or medical personnel, who conducts himself/herself in an unsportsmanlike manner, or who is offensive by action or language to officials, volunteers, participants or spectators may be disqualified from the event and may be refused entry to any future events.

Any participant who has been found by a marshal or event official shall be immediately disqualified from the event and banned from future participation in any Jolly Running Ltd event.

Any participant who has been found by a course marshal, event official or surveillance equipment to have gained an unfair advantage by intentionally shortening the route of the race (“cutting the course”) shall be immediately disqualified from the event and banned from future participation in any Jolly Running Ltd event at the discretion of race officials.

Any person who participates in the event without a current official event bib number or timing device or a bib or chip not officially assigned to him/her is subject to removal and disqualification from future events.

No persons are authorized to be on the course unless they are registered participants.

Therefore, no person shall be allowed to accompany a participant if he/she is not registered in the event, nor shall any participant be allowed, without the permission of the event management, to receive assistance or refreshment from anyone during the progress of the event. Any person not properly displaying an authorised and issued bib number shall be directed to leave the course.

Any person who participates in the event without an official race number assigned to them, will be disqualified from the event and may be banned from future participation in any Jolly Running Ltd event.

Safety

HEADPHONES: Our events are run under UK Athletics rules, so each event will have its own rules on Headphone use, as we need take into account the area and terrain you are running in, please read the individual event Terms and Conditions when entering a race.

Participants are responsible for their recognition and understanding of event signage, symbols and colour relating to participant maps, facilities and direction.

Medical personnel authorised by the event to do so may examine any participant who appears in distress. If in the sole opinion of authorised medical personnel it is in the best interest of the participant’s health and welfare, medical personnel may remove the participant from the event.

Participants must retire at once from race if ordered to do so by a member of the event’s official staff, official medical staff, or any governmental authority, including fire and police officers.

Participants are responsible and assume liability for any and all medical expenses incurred as a result of training for and/or participation in the event, including but not limited to ambulance transport, hospital stays, physician and pharmaceutical goods and services.

Event officials reserve the right to delay, cancel, or suspend the race due to inclement weather in accordance with emergency protocol on severe emergencies and/or inclement weather. No refund will be issued in these circumstances.

3)Data Protection Policy Statement

Jolly Running Ltd is fully committed to full compliance with the requirements of the General Data Protection Regulation. We will therefore follow procedures which aim to ensure that all Directors, employees and other agents of Jolly Running Ltd (collectively known as data users) who have access to any personal data held by or on behalf of us are fully aware of and abide by their duties under the General Data Protection Regulation

Statement of Policy

Jolly Running needs to collect and use information about participants in order to operate and carry out its functions.  This personal information must be handled and dealt with properly however it is collected, recorded and used and whether it is on paper, in computer records or recorded by other means.

Jolly Running Ltd regards the lawful and appropriate treatment of personal information as very important to its successful operations and essential to maintaining confidence between us and those with whom it carries out business. We therefore fully endorses and adheres to the Principles of the General Data Protection Regulation.

Handling personal/special category data

Jolly Running Ltd will, through management and use of appropriate controls, monitoring and review:

  • Use personal data in the most efficient and effective way
  • Strive to collect and process only the data or information which is needed
  • Use personal data for such purposes as are described at the point of collection, or for purposes which are legally permitted
  • Strive to ensure information is accurate
  • Not keep information for longer than is necessary
  • Securely destroy data which is no longer needed
  • Take appropriate technical and organisational security measures to safeguard information (including unauthorised or unlawful processing and accidental loss or damage of data)
  • Ensure that there is general information made available to the public of their rights to access information
  • Ensure that the rights of people about whom information is held can be fully exercised under the General Data Protection Regulation

These rights include:

  • The right to be informed
  • The right of access to personal information
  • The right to request rectification
  • The right to request erasure
  • The right to restrict processing in certain circumstances
  • The right to data portability
  • The right to object to processing

The Principles of Data Protection

Anyone processing personal data must comply with 6 principles of good practice. These principles are legally enforceable.

Summarised, the principles require that personal data shall be:

1. processed lawfully, fairly and in a transparent manner in relation to individuals

2.collected for specified, explicit and legitimate purposes and not further processed in an manner that is incompatible with those purposes; further processing for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes shall not be considered to be incompatible with the initial purposes;

3. adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed;

4. accurate and where necessary, kept up to date; every reasonable step must be taken to ensure that personal data that are inaccurate, having regard to the purposes for which they are processed, are erased or rectified without delay;

5. kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed; personal data may be stored for longer periods insofar as the personal data will be processed solely for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes subject to implementation of the appropriate technical and organisational measures required by the GDPR in order to safeguard the rights and freedoms of individuals;

6. processed in  a manner that ensures appropriate security of the personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures.accordance with the rights of data subjects under the Act

The Act provides conditions for the processing of any personal data. It also makes a distinction between personal data and ‘special category’  data.

Personal data is defined as any information relating to an identified or identifiable natural person

Special category data is defined as personal data consisting of information as to:

  • Racial or ethnic origin
  • Political opinion
  • Religious/philosophical beliefs
  • Trade union membership
  • Physical or mental health or condition
  • Sexual life  or sexual orientation
  • Biometric data
